Confidence Group is looking for a skilled and proactive Senior Executive – Project Admin & Accounts to manage project-related administrative and accounting activities. The role will support budgeting, financial documentation, expense monitoring, reporting, procurement coordination, and day-to-day project administration to ensure smooth and efficient project operations.
Roles and Responsibilities:
- Manage day-to-day administrative activities of the Land port project office and site.
- Maintain physical and digital records, correspondence, filing systems, and project documentation.
- Prepare and track official letters, memos, notices, and project correspondence.
- Maintain attendance, leave, and staff movement records in coordination with HR.
- Coordinate office facilities, stationery, accommodation, transportation, and travel arrangements for the project team.
- Process project bills, invoices, vouchers, and supporting financial documents.
- Record and monitor project expenses, petty cash transactions, and reconciliations.
- Verify contractor and vendor bills with approved supporting documents.
- Coordinate with Head Office Finance & Accounts regarding payments, advances, reimbursements, and financial reporting.
- Prepare project expense statements, reconciliations, and budget monitoring reports.
- Track administrative expenses against approved budgets and report significant variances.
- Maintain complete financial and administrative records for audit purposes.
- Ensure compliance with company policies and project procedures.
- Maintain confidentiality of financial, commercial, and personnel information.
- Support the Project Manager with other administrative and accounts-related responsibilities as required.
Academic Qualifications:
- Bachelor of Commerce (BCom)
- Concentration/Major: Bachelor's/ Masters in Accounting / Finance / Business Administration

- Additional Requirements:
- Experience in project administration, office administration, or project accounts.
- Hands-on experience in bill and voucher processing.
- Knowledge of petty cash management and expense reconciliation.
- Experience in vendor bill verification and finance coordination.
- Ability to maintain project records and documentation with accuracy.
- Strong coordination and communication skills for working with project teams and Head Office.
- Proficiency in MS Excel and MS Word.
- Familiarity with accounting software such as Tally, SAP, or equivalent ERP systems will be an added advantage.
- Ability to work at a project site in a fast-paced EPC environment.
